On signing the Hire Agreement and / or agree digitally when ticking the ‘I agree’ box when booking you accept the terms and conditions set out below. Please read through the following terms and conditions carefully prior to signing /agreeing to the agreement. If you have any questions regarding these terms and conditions please contact us. The breach of any of these terms, depending on the nature of the breach, may give rise to the loss of security deposit.
In the event of a discrepancy between the following terms and conditions and any other York Campervan Hire literature, information or website please note that the provisions of these terms and conditions will apply.
The following wording sets out the terms and conditions on which York Campervan Hire is prepared to hire the vehicle to you.
1a. “We”, “us” or “our” means York Campervan Hire located at Wesgarth, Cawood Road, Wistow, Selby YO8 3XB.
1b. “You”, “your” or the “Hirer” means the person or persons named as the hirer under the heading ‘hirer details’ on the Hire Agreement and any person whose credit card is presented in payment of the hire charges.
1c. “The Parties” refers to the hirer of the vehicle as recorded on this agreement, any additional drivers also recorded on this agreement, and York Campervan Hire and its employees and agents.
1d. “Hire Agreement” means this agreement.
1e. “Hire period” means the hire period referred to under the heading “booking details” on the Hire Agreement or any agreed variation thereof and any additional period during which the vehicle is in your possession or control. If you break any terms of the Hire Agreement, we can ask you to return the vehicle to us before the date and time we have agreed with you.
1f. “Hire Rate” means the price for the use of the vehicle during the hire period as set by York Campervan Hire.
1g. “Inventory List” is an overview of the vehicles inventory at the start of the hire period.
1h. “Vehicle” means the vehicle described under the heading “vehicle details” on the Hire Agreement and includes tyres, tools, accessories, camping equipment and any other special equipment and documents related to the vehicle and any replacement or substitute vehicle which may be provided at the discretion of York Campervan Hire.
1i. “Security deposit” means the vehicle security deposit detailed under the heading “vehicle security deposit” in the Hire Agreement. The hire rate quoted includes a standard excess of £750 or other amount as agreed by our insurers for UK driving licenses. (£1,000 for non-UK residents)
2a. The following passenger limits include the driver. Each person is to use the safety restraints provided at all times when the vehicle is in motion:
Tango – Up to 5 passengers
2b. Drivers must be between 25 and 70 years old. A refundable security deposit of £750 to cover the insurance excess applies to all vehicle hirers with UK Drivers licence. Drivers with non-UK licence will be checked by our underwriters who will notify us of any additional excess.
2c. All drivers must have held a full UK driving licence for a minimum of two years prior to the hire start date.
2d. The main driver must provide Photo ID licence and a DVLA code check prior to start of hire including two proofs of residence. Two original proofs of address dated within the last three months prior to the hire start date are acceptable.

Water bill
Electricity bill
Council tax bill
Credit card statement
HMRC self-assessment / tax credit
Mortgage statement
Telephone (not mobile) bill
If the Driver does not have a Photo Licence ID, a paper licence and a passport are required.
2e. All additional Drivers must provide Photo ID licence prior to start of hire. If the Driver does not have a Photo Licence ID, a paper licence and a passport are required.
2f. The details of any additional drivers are required in advance of the start of the hire.
2g. Drivers are personally liable for all legal penalties incurred during the period of hire. This includes parking tickets, speeding tickets etc.
2h. A maximum of 3 additional drivers per hire.
2i. All drivers who intend to drive the vehicle during the hire period must be present at booking hire start handover with all documentation as outlined above.
2j. We reserve the right to cancel the hire if, at the commencement of hire, the drivers’ licences are invalid or not in accordance with the required conditions or if insurance is declined for any reason.
2k. Drivers must not have been involved in more than one motoring accident or claim within the preceding three years to the first day of hire.
2l. Drivers have not been convicted of any motoring offence or has a prosecution pending other parking or one speeding offence.
2m. Drivers have referred any medical condition requiring DVLA notification and authorisation has been granted.
2n. Drivers have not been refused motor insurance at normal rates and terms or has not been declined insurance or had any insurance policy cancelled by an insurer.
2o. All drivers must provide us with a driver licence check code which can be obtained via the government website at https://www.gov.uk/view-driving-licence
2p. To obtain a code you will need your driving licence number and your National Insurance number – please provide us with the code at least 21 days prior to your collection date.
2q. If any driver has 6 points or more, we will need to confirm eligibility with our insurers.
3a. The availability of a booking is on a request and confirm basis at the time of the booking.
3b. A non-refundable booking fee of £150 is payable at time of booking. Refunds will be in accordance with York Campervan Hire cancellation policy. A booking is only binding after it has been confirmed by York Campervan Hire and the booking fee of £150 has been paid. Our terms and conditions including cancellation policy will apply from this point onwards. Once the booking is confirmed, a confirmation email will be sent to you.
3c. The remainder of the balance is due in full 28 days (4 weeks) prior to the start date of your hire. Overdue unpaid balances after due date may result in cancellation of booking and loss of deposit.
3c. If the first day of your hire begins within 28 days of the date of booking then full payment is required at the point of booking.
3d. A refundable security deposit is payable 7 days prior to the hire start date. This is to cover the insurance excess and any damages or road traffic fines incurred. The security deposit will be refunded 7 days after the end of your hire less any incurred costs for damages and fines.
3e. The hirer irrevocably authorises York Campervan Hire to deduct from the security deposit any amounts due by you to York Campervan Hire arising out of this agreement. The security deposit will be refunded directly to your payment card 7 days after the return of the Campervan provided the vehicle being returned to the correct location, undamaged, with a clean interior and with a full fuel tank.
4a. The hirer is responsible for all York Campervan Hire charges. By agreeing to these terms and conditions you agree to be jointly and severally liable for all of our charges even if you have asked someone else to be responsible for all or part of them.
4b. The following is included in your hire charge:
* Insurance loading – In some cases, York Campervan Hire will incur additional charges if the driver to be insured has a traffic conviction, is using a non-UK driving license or is in an occupation which is deemed high risk. These charges will be passed onto the hirer.
4c. The following are available to hire at an additional charge:
4d. The following items are NOT included in the hire and should be provide by the hirer:
4e. You agree that there will be a 48-hour period following the date of return of the vehicle allowing us to make a thorough inspection of the vehicle inside and out having washed and removed all dirt and debris to allow for such inspection. Any damages found within this period will be notified to you by photo and email and the cost of repair will be deducted from the security deposit accordingly.
4f. You agree that should any items or equipment present at the start of the hire period on or within the vehicle, including any additional optional hired equipment, are not returned or are returned damaged or missing any parts that the cost of repair replacement will be deducted from the security deposit. If spare parts are not available or repairs are not possible or practicable for the item then the hirer will be liable for the full replacement cost of the same or equivalent specification item.
5a. By agreeing to these terms and conditions you agree to pay York Campervan Hire the following:
*This cost is up to the insurance excess amount provided all Terms and Conditions are adhered to. If the insurer deems the insurance to be invalid due to inappropriate use of the vehicle by the hirer and there has been a breach by you of the terms of this hire agreement, then you will be liable for all costs.
5b. You agree that you will be responsible for the following charges:
An excess is applied for windscreen damage according to our insurer’s terms and will be taken off the hirer’s security deposit:
The hirer will be responsible for damages to tyres and the cost of repair or replacement will be deducted from the security deposit.
Unagreed late returns will be charged at £40.00 per hour or part thereof up until the time of return
5c. UK standard breakdown cover is included. This covers you against breakdowns due to mechanical faults. Any charges relating using the breakdown cover for incidents due to your error including but not limited to, the wrong fuel (mis-fuel), running out of fuel, running out of AdBlue, clutch damage (riding the clutch), improper use of handbrake (forgetting to take off handbrake), lost keys, locking keys in the vehicle, grounding the vehicle, flooding the vehicle, flat battery, etc will be the responsibility of the Hirer.
6a. Pick up is to be between 1.00pm and 3.00pm on the hire start date (Unless agreed otherwise in writing).
6b. Return time is to be between 10.00am and 11.00am on the return date (Unless agreed otherwise in writing)
6c. Please allow up to 1 hour for the hand-over of the vehicle to complete documentation and demonstrate the vehicle to you.
6d. Please allow up to half an hour on the return of the vehicle to handover and check the condition of the vehicle. The vehicle must be returned with a full tank of fuel and returned in the same condition that it was hired to you. The vehicle must be returned on the date stated on the booking and before the stated return time agreed. You must advise us if you are delayed for any reason and additional charges may be charged.
6e. You agree that you have received the vehicle in a clean condition and in sound working
order in accordance with the booking and with a full fuel tank.
6f. You agree to return the vehicle in a clean condition with a full fuel tank, on the return date and time agreed. You agree that York Campervan Hire will not refund to you any monies, nor have any obligation to provide a replacement vehicle, if the vehicle is returned or you cease to have the use of the vehicle prior to the return date for any reason e.g. accident, injury, weather or theft
6g. York Campervan Hire has the right to refuse to handover the vehicle on arrival of the hirer to any person who in our opinion is not suitable to take charge of the vehicle, due to any concerns we may have for the safety of the vehicle or its occupants or other road users. This will also apply if any driver is under the influence of alcohol or drugs. In this situation it will be treated in the same way as a cancellation with no notice. York Campervan Hire will have no obligation whatsoever with regard to refunding any monies paid by the hirer to other parties for campsites, events, onward travel, or any other circumstances.
7a. The following cancellation charges will apply:
7b. If you fail to turn up at the agreed time on the hire start date this will be treated in the same way as a cancellation with no notice.
7c. Your booking is not transferrable to a different person or a different date.
8a. If the vehicle you have reserved is not available for hire we reserve the right to substitute it for a comparable vehicle to that booked.
8b. If the daily hire cost of the substituted vehicle is higher than the original hire charge then no additional daily hire charges will be charged to you.
8c. If the daily hire cost of the substituted vehicle is lower than the original hire charge then a refund of the difference will be given.
8d. Substitution of the vehicle does not entitle you to any refund nor does it constitute a breach of this Hire Agreement. If you do not accept the replacement vehicle offered, the reservation will be deemed cancelled and the above cancellation fee scale will apply.
8e. If no replacement vehicle can be offered by us, the reservation will be cancelled and you will be refunded in full, in this instance you agree that you are not entitled to claim any consequential losses.
9a. All charges and expenses payable by you under this booking are due on demand by York Campervan Hire. If you do not pay all charges when due, you agree to pay a late payment charge of 1% per month on the outstanding balance and any collection costs incurred by York Campervan Hire, including reasonable legal fees.
10a. You acknowledge that York Campervan Hire retains title to the vehicle and that you possess the goods as a mere bailee only. You acknowledge and agree that you do not have any right to pledge credit in connection with the vehicle and you agree not to do so. You shall not agree, attempt, offer or purport to sell, assign, sublet, lend, pledge, mortgage, let on hire, or otherwise part with or attempt to part with the personal possession of or otherwise deal with the vehicle.
11a. You agree that during the hire period, you will not and will not allow the vehicle to be:

11c. You agree that during the hire period, you will not and will not allow the vehicle to be damaged / stolen by being:
12a. You agree not to make any alterations or additions to the vehicle or any of its components whatsoever without the prior written consent of York Campervan Hire.
13a. York Campervan Hire will carry out a full inspection of the vehicle prior to each hire and you will be shown how to operate the systems and equipment in the vehicle. Should any item fail during the hire period, we will use our best endeavours to remedy the problem for you but in some circumstances this may not be possible. If this occurs, we cannot be held responsible and will not refund any sums nor have any obligation to provide a replacement vehicle.
13b. We shall take all reasonable steps to properly maintain the vehicle, including oil checks, water and batteries.
13c. The hirer will be responsible for the regular checking of oil and water levels, and the use of the correct type of fluids, and topping up as required.
13d. We will reimburse you for expenditure up to £100.00 reasonably incurred in rectifying any mechanical failure to the drivetrain and engine of the vehicle (not including the water system, refrigerator, heating, audio equipment) provided that:
13e. Subject to the terms of this hire agreement, you will pay for the cost of repairing or replacing tyres damaged during the hire period and agree to:
14a. In the event of any accident, loss or damage, including mis-fuelling, arising out of the use of the vehicle:
15a. The hirer agrees that the vehicle is insured with fully comprehensive insurance for damage to the vehicle and the property and medical costs of a third party (less the excess set by the insurers). Please note that our insurance does not cover medical cover for our hirers; it only covers damages to our vehicle.
15b. The Vehicle Insurance does not cover personal items or losses. We shall not be liable for any indirect or consequential losses. The Hirer is advised to take out personal travel insurance cover prior to the Hire Period
15c. The hirer shall pay or reimburse York Campervan Hire against all losses, liabilities, costs, actions, claims or demands which it may incur or have brought or made against them in relation to the vehicle or its use and which are not recoverable under a policy of insurance whether the same is affected by York Campervan Hire or the hirer.
15d. The Hirer is responsible for the full cost of making good any damage to the vehicle caused deliberately, by improper use or by an act of negligence.
15e. In the event of insurable damage not being indemnified with the insurer, the following charges may apply:
16a. Subject to its obligation to deliver the vehicle, you release York Campervan Hire, its employees and agents, from any liability to you (regardless of who is at fault) for any loss or damage incurred by you by reason of this agreement, including but not limited to:
17a. All vehicles may only be driven on sealed / bitumen roads.
17b. The hirer acknowledges that York Campervan Hire reserves the right at any time, at its sole discretion, to restrict vehicle movements in certain areas due to adverse road or weather conditions or any other reasonable cause.
18a. The hirer acknowledges that York Campervan Hire may terminate this agreement and repossess the vehicle at any time, without notification to me, and that I will pay the reasonable costs of repossessing the vehicle, including towing charges if.
19a. By agreeing to these terms and conditions the hirer confirms and agrees to familiarise themselves and their party with the vehicle instruction manual and rules and adhere to these instructions and rules.
19b. The hirer agrees that any damage or cost incurred by York Campervan Hire due to the hirers failure to adhere or follow these rules and instructions will be deducted from the security deposit.
20a. The originally agreed hire period can be extended when both York Campervan Hire and the hirer agree on the amendment in writing. The extension is authorised if York Campervan Hire agrees to the extension and the hirer has paid for the extension in full.
20b. York Campervan Hire reserves the right to refuse an extension request.
20c. If the hirer wishes to return the vehicle early, this is to be done at a time and place agreed upon with York Campervan Hire. No refund will be issued for unused days unless agreed upon with the York Campervan Hire.
21a. If you intend to bring your pet with you, please ensure this is added to your booking prior to the hire start date.
21b. York Campervan Hire reserve the right to refuse to allow your pet or pets at our own discretion and without explanation even if you have pre-booked the pets.
21c. Should your pet cause damage to the vehicle’s interior, exterior and / or any accessories or equipment, the cost of rectification will be deducted from your security deposit.
21d. Should your pets cause excess mess that requires additional cleaning then an additional cleaning charge of £75.00 will be deducted from the security deposit.
22a. Any changes to this agreement must be in writing and must be signed on behalf of York Campervan Hire.
23a. This agreement is governed by the laws of England in which this agreement was signed.
24a. This agreement constitutes the entire agreement of the parties and there are no other oral undertakings, warranties or agreements between the parties relating to the subject matter of this agreement. York Campervan Hire reserves the right to add or amend any hire charges without prior notice.
